Billing Clerk/Bookkeeper Position at Sanford, Pierson, Thone & Strean, PLC
Do you love numbers and solving problems?  Do you want to gain basic experience in finance and accounting?  Sanford, Pierson, Thone & Strean, PLC is looking for an entry-level billing clerk and bookkeeper focused on managing the firm’s accounts receivable and accounts payable.  A strong candidate must be accurate and reliable in handling a high volume of accounts and information.  This position requires a high degree of attention to detail and strong organizational ability, as well as proficiency in Microsoft Outlook and Excel.  General familiarity with QuickBooks and Timeslips is preferred.  The responsibilities in this position include, but are not limited to:
  • Generate and distribute for attorney review bills/invoices
  • Issuing invoices monthly or whenever necessary and sending them to clients through various channels (primarily mail and e-mail)
  • Managing client account balances to discover outstanding debts or other inconsistencies
  • Checking the data input in the billing system to ensure accuracy of final bill, including entry of client costs
  • Receiving payments through various methods (cash, online payments etc.), checking for credibility, and depositing those payments
  • Updating billing records with new payments, balances, client information etc.
  • Answering questions and handling complaints from clients regarding bills
  • Reconciling amounts between billing software (Timeslips) and accounting software (Quickbooks) and reporting on activity to upper management
  • Basic bookkeeping and administration involved with making general ledger entries (expenses, accounts payable, fee income, cost reimbursement, etc.)
  • Issuing checks for client expenses and accounts payable
  • Reconciling firm credit cards for accurate application to expense categories on general ledger
  • Coordinating with vendors and service providers
  • General administrative and clerical duties, including the opening and distribution of mail, ordering office supplies, answering phones, maintaining a clean and organized workplace, maintaining clean and organized conference rooms, mailing and copying as directed
  • General support for the Marketing Coordinator in firm marketing campaigns
